Sydney transfers are decided less by distance than by kerb access. The airport controls who collects and where, the centre has almost no coach layover, and every toll road is cashless. Build the schedule around those three and the times hold.
Arrivals at Kingsford Smith
Town Hall is about 13.5 km from T1 International: 15 to 20 minutes in light traffic, far longer at the peaks. Coaches collect only from the Bus/Coach Pickup area in each terminal's Ground Transport Zone, and only once the flight is down; until then it waits at the Ross Smith Avenue holding area next to the Blu Emu car park. Every bus job at the airport is pre-booked by a registered operator with a registered e-tag, so a coach cannot be hailed at the kerb.
International arrivals at T1 and domestic arrivals at T2 or T3 come out in different parts of the airport, so a delegation split across both is two pickups. List each flight with its terminal and head count, and the quote shows whether one vehicle shuttles or two run side by side. Passenger flights at Western Sydney International are scheduled to start in late October 2026.

Staging a full day in the city
The centre has no long-stay on-street coach layover; the Castlereagh Street bays became loading zones in 2023. On a long program the driver waits at the Transport for NSW layover at King Street Wharf, entered from Lime Street, open to accredited operators whose plates are registered in advance. Nobody boards or alights inside it, so each collection is a timed move out to a set-down point.
The usual set-downs: George Street beside First Fleet Park for Circular Quay, King Street Wharf and Lime Street for harbour cruises, and Wheat Road behind the aquarium for Darling Harbour. ICC Sydney is on the western edge of the CBD, so morning loops from Pyrmont, Haymarket and Barangaroo are short.

At the Overseas Passenger Terminal, ground staff direct coach transfer passengers to a dedicated pick-up point; tell guests to follow them. Olympic Park venues can empty onto the same roads on one night, so fix a return point away from the gates. On the cashless toll roads, a coach taller than 2.8 m or longer than 12.5 m is Class B; the operator's tag covers it and the quote names the route.

How long from Sydney Airport to a CBD hotel?
Allow 15 to 20 minutes on the road in light traffic, plus bag collection and the call-up from the holding area. At peak, plan for much longer.
Can the coach wait outside the venue all day?
Rarely in the centre. The driver lays over at King Street Wharf and comes back at an agreed time.
Is a Blue Mountains day realistic after a conference?
Katoomba is about 1.75 hours by road, so it fills a day; share the program's last session time and the return is planned inside the driver's hours.
