From flight list to confirmed transfer
Four stages: brief, quote, acceptance and the day itself. You decide at each one, and no money changes hands until you accept the quote.
Stage 1: the brief
A complete brief gets priced without a round of questions. Passenger numbers for each movement, not just the total. Flight numbers, sailing names or train times, with the terminal where you know it. Every pickup and drop-off address in running order, with the time the group must arrive. Bags per person, plus equipment such as instrument cases, team kit or exhibition stock.
Name any passenger who uses a wheelchair or has limited mobility, so the right vehicle is requested at the pricing stage.
Stage 2: the operator prices it
As the booking service, we pass the brief to a partner operator, accredited and insured, that has a suitable vehicle available on the date. It works out hours, distance, waiting, tolls, airport access and any port or event arrangements. Toll roads in Sydney, Melbourne and Brisbane are cashless, and several airports charge operators for access, so the operator accounts for both when pricing. Where the schedule exceeds what a single driver may legally work, the operator adds a second driver or proposes a different plan.
Stage 3: check the quote against the run sheet
You receive one quote per trip, listing the vehicle type, the timings and addresses covered, the inclusions, and the operator's cancellation terms. The terms are set by the operator for that vehicle and are in front of you before any payment. Read the times line by line against your run sheet; if something is wrong, ask for a revised quote. Asking commits you to nothing.
Stage 4: accept
Acceptance is the first moment a charge is made. A written confirmation follows, carrying the timings and addresses the operator has committed to.
Changes after confirmation
Numbers shift and flights slip. Tell us as soon as you know. We put the change to the operator; if the figure changes, you see the revised amount before any further charge. A cancellation is governed by the terms on the accepted quote.
On the day
Put a named contact with the group and their mobile on the booking. At airports without a holding area, the driver is waved in only when everyone is standing kerbside with bags, so the contact calls once the carousel is cleared.
Questions
How far ahead should I book?
As early as the plan allows. Around peak dates such as the Melbourne Cup Carnival or the Australian Open, more notice means more operators with vehicles free.
Can two vehicle options be quoted?
Yes. Describe both in the brief, for example one coach against two minibuses for a split arrival, and each is priced.
Does requesting a quote cost anything?
No. Quotes are free; payment is only taken once you accept one.
