Avalon (AVV): one terminal, two directions, early paperwork
Avalon lies between two destinations, Geelong and Melbourne, and the first decision is which way the group is heading. The second is paperwork: collections for larger groups and charter tours are arranged directly with the airport operator, and that takes lead time.
Geelong or Melbourne
Central Geelong, measured to City Hall, is roughly 24 km along the toll-free Princes Freeway, which suits the new waterfront convention and event centre and the central hotels. The Melbourne CBD is about 56 km and around 50 minutes. Heading to Melbourne, on the usual route a bus with 13 or more seats passes the heavy-vehicle toll point on the West Gate Freeway whether it takes the tunnel or the bridge, so ask for tolls to be shown on the quote.
For a split program, such as delegates to Geelong and a board to a Melbourne hotel, book two vehicles off the same arrival rather than one bus making both runs.

The Bus Zone and its fee
Buses collect from the airport's Bus Zone, which is for buses only, and may stay there only as long as loading takes. The zone fee depends on how many passengers the bus can carry, is paid before the bus enters, and is not refunded if nobody is collected. Every commercial vehicle picking up also pays an access fee at the terminal control point.
That makes accurate flight details matter. A group that rebooks onto a later flight without telling anyone can leave a paid bay empty. Send changes as soon as they happen.

Avalon publishes no coach holding area, so the vehicle is timed to reach the Bus Zone as the group comes out with its bags. With a single terminal there is no split to plan for; the risk is a bus arriving too early, not at the wrong door.
Ferry and onward links
Groups crossing to Tasmania sail from Spirit of Tasmania Quay in North Geelong. Its ships and sailing pattern change in late 2026; confirm the crossing before the airport pickup is fixed. A traveller who misses the group can take the airport express bus, timed to every major flight, into Southern Cross Station (it also serves Werribee), or public route 18 to Lara Station.
