On a group program, the executive car carries the people whose times differ from everyone else's: the keynote who lands at noon, the chair who leaves before dinner, the client flying in for one meeting.
Running beside the coaches
Book cars against individual times, not the group run sheet. A speaker's car collects from the airport, stops at the hotel and goes on to the venue green room while the delegate coaches keep their own loop. List each passenger with flight number, destination and any fixed commitments.

Airport meeting points
Each airport sets its own arrangement for chauffeurs. Adelaide Airport has chauffeurs greet arrivals in baggage reclaim, below the main escalators, then walk them to reserved chauffeur bays up on Level 4 of the P1 Terminal Car Park. Perth Airport requires an access card for chauffeured cars and gives them a parking area beside T1 International Arrivals and reserved bays for T3 and T4. Tell passengers where they will be met before they fly.
At Brisbane's cruise terminal, a chauffeured car shorter than 6.5 m may use the two-minute loop in front of the building, provided the driver stays with it.
Rules behind the booking
In NSW, booked hire cars are point to point transport, and vehicles used for booked services need a safety check every year, even when nearly new. In Western Australia, a driver carrying passengers for reward holds an annual passenger transport driver authorisation. Hire cars are not covered by the accessible transport Standards, so a passenger using a wheelchair needs a wheelchair-accessible vehicle requested by name.
Questions
Can the car wait during a meeting?
Yes, if booked by the hour. Give the address and expected finish; waiting beyond the booked time depends on the driver's next job.
Can one car cover several VIP arrivals?
Only when flights land far enough apart. At Perth, the T1/T2 and T3/T4 precincts are about a 10-minute drive apart, so arrivals at both usually need two cars.
Sedan or SUV?
A sedan for one or two passengers with cabin bags; an SUV when there are large cases or three travellers with luggage.
