Wedding transport fails at the edges: guests stranded at the hotel, or the last shuttle leaving before the speeches end. Build it from the ceremony start and the venue's closing time, then fill in the legs between.
Three addresses and a headcount
Most weddings move guests between accommodation, ceremony and reception, then home. For each leg, give the address, the time guests must arrive and how many travel. A 57-seat coach clears a ceremony run in one trip where a 24-seat minibus may need three loops, and three loops take time the ceremony may not have.
Keep the couple's car on its own timing. An executive car follows the photographer; the guest vehicles follow the celebrant.

Regional venues change the plan
Hunter Valley and Blue Mountains weddings put the longest leg at the end of the night. From Sydney, allow about two hours to Pokolbin and slightly under that to Katoomba. Guests staying locally need only short loops, but a return to the city after midnight is a long drive at the end of a long shift.
Check the local calendar. In the Hunter, concert days at the winery amphitheatres bring heavy traffic, and the Hunter Valley Gardens light show fills summer evenings from late October. Echo Point's roundabout is camera-enforced against bus set-downs, so a photo stop at the Three Sisters needs a planned set-down. The Fairmont at Leura, the Hydro Majestic at Medlow Bath and the Carrington in Katoomba all take events; confirm where a coach can pull in at each.

- In Victoria, a passenger car modified to have more than 9 seats, such as a stretch limousine, is not a bus
Timing the last run
Decide when the final shuttle leaves and print it on the invitation. Two late departures, one after the speeches and one at close, suit most receptions better than one. If the day began with an early guest run, the coach driver's legal work limit can cap how late the vehicle stays, so give the full span from first pickup to last drop.
Questions
Do guests have to wear seat belts?
In NSW, passengers aged over 16 can be fined for travelling unbelted where a belt is fitted. Ask whether a vintage or older vehicle has belts at every seat.
How far ahead should we book?
As soon as the venue and date are fixed, and earlier still for Saturdays in spring and summer.
Can the driver wait during photos?
Yes, if it is booked as waiting time. Say where the photos happen and how long they run, and check that a vehicle can stand there.
